Event Operations Manager

What We’re Looking For

We are seeking a dynamic and organized Event Operations Manager to join our team and contribute to the successful scheduling and planning of our events program. The ideal candidate should possess a passion for meeting customers’ needs, excellent communication skills, and a keen eye for detail. As an Event Operations Manager, you will own the event booking process with our sponsors, manage the event calendar in coordination with events and partner success teams to meet community needs, and direct our contractors to ensure adequate venues are booked for all events.

Our ideal candidate has experience in the legal, tech and/or startup industries, has intense innate curiosity, a passion for customer success, a natural propensity towards details and organization, and a desire to shape the best experiences in the industry based on data driven decision making. The right candidate will enjoy coordinating many moving pieces of information across many stakeholders, optimizing processes, and analyzing/presenting data. About The Suite

We do this by building exclusive, highly curated professional communities designed for C-Suite executives at high growth companies and funds, and their direct reports. We have two active communities today - The L Suite for legal executives (which includes our flagship, TechGC, for CLOs/GCs) and The F Suite for CFOs/senior finance executives. Additional communities are currently in development with expected launches throughout this year.

We currently have more than 4,800 paid members across our communities, representing C-Suite executives from many of today’s leading tech companies (Airbnb, Airtable, Bolt, Coinbase, Dropbox, Figma, Meta, Notion, Slack, Uber, etc.) and venture funds (Accel, Battery, Bessemer, FirstMark, Foundry, Sequoia, etc.). We also have deep partnerships with top law and professional services firms and technology vendors that service these executives.

Each of our communities is unique, but they are all powered by “the Braintrust” - our custom-built member platform which forms the foundation for our mission. The Braintrust is the first place members turn when faced with a work-related issue, and the place where they have their most important conversations. Members also come together at world-class in-person conferences, events, dinners and virtual event forums that are included with membership.

We are a highly-profitable and rapidly-scaling startup with a fully remote team of 50+.

Responsibilities

  • Book sold inventory: Ensure our partners select dates if they have not done so within 14 days of onboarding. Coordinate upselling opportunities with the Partner Success team after all slots have been filled.

  • Events calendar management: Manage initial calendar set up and any subsequent cancellations and rescheduling in partnership with each suite. Ensure adequate events are scheduled to provide at least a base level offering for each community and peer network balanced with sponsor demand.

  • Events data/reporting: Ensure all dinners are tracking toward desired attendance and ICP (Ideal customer profile) for the sponsor. Monitor and prepare comprehensive reporting on the performance of each dinner for attendance and ICP (what % of the audience was in the target of the sponsor). Work with the Partner Success team on additional data/metrics for partner reporting.

  • Venue/contractor management: Coordination of contract staff to ensure adequate venues have been confirmed for each event. Ensure chosen venues meet the needs of each event format and avoid repetition for each peer network and sponsor.

  • Contracts: Review all venue contracts for accuracy and approval. Coordinate any adjustments through contract resources.

Qualifications and Experience

  • B.A. or B.S. from an accredited college or university

  • Demonstrated interest in startups and community building

  • 2+ years experience leading events, coordinating sponsors, management of contracts and/or management of vendors/contractors.

  • You're an excellent communicator and a strong, confident writer.

  • You have incredible attention to detail. You notice when the correct brand color isn’t used, when dates and names don’t match across documents, and when numbers don’t add up.

  • You are comfortable providing direction to contract support staff and fine tuning processes as needed.

  • You’re highly customer-service oriented and love building and maintaining relationships.

  • You're extremely comfortable learning new technologies and have a passion for startups and building communities.

  • You enjoy learning new planning and data management tools.

  • You have strong administrative and organizational skills, and can easily multi-task, follow up and manage competing priorities all under tight deadlines.

  • You're a self-starter, but when something is over your head you aren't afraid to ask for help.
